For archery clubs and NASP school teams

Who’s paid.
Who’s signed.
Who’s shooting Saturday.

Parents sign up and sign waivers from their phones. Invoices and reminders go out on their own. You see every balance on one screen and get back to the shooting line.

Goodbye to

  • the sign-up spreadsheet
  • paper permission slips
  • “who still owes for the shirt?” texts
  • copying scores by hand
How it works

Three jobs you can stop doing by hand.

01

Stop chasing payments.

When a family signs up and hasn't paid, Archers Track creates the invoice and emails it to them. Your home screen shows who owes what, and one tap reminds one family or everyone who's behind.

  • Invoices created and emailed at sign-up
  • One-tap and bulk payment reminders
  • Parents look up their own balance online
  • Record cash, check, card or Step Up payments
Needs your attention: Fall Classic is in 10 days, 40 archers owe $1,234.00 with See who and Email them buttons, and 8 equipment orders haven't arrived
02

Sign-ups that fill themselves.

Share one link. Parents sign up their archer from their phone, sign the waiver on screen, and get a confirmation email. Sign-up closes itself when the event is full, and every family gets a reminder before the day.

  • A sign-up link for every tournament and class
  • Waivers signed on the phone and kept on file
  • Live spots left, and a waitlist when it fills
  • Confirmation and reminder emails, sent for you

03

Your whole team on one screen.

Every archer's school, division, personal best, last competition score and balance, on one roster you can filter in a tap. Pull an archer's NASP tournament history and scores in one click, or update the whole roster at once.

  • Filter by school, division or who owes money
  • Import NASP tournament history and scores
  • Personal best and last score on every row

NASP runs official tournament registration and scoring, on nasptournaments.org and its newer Arrowscores platform. Archers Track works alongside them and runs the rest of your season. How they fit together

FAQ

Questions coaches ask first.

Something else? Email [email protected] and a real person will answer, usually within one business day.

Do parents need accounts?

No. Parents use your club's sign-up and parent portal links. They find their archers with their email address and confirm with the archer's date of birth. There are no usernames or passwords for parents to forget.

Do parents pay anything to use it?

No. Parents never pay to use Archers Track. If your club turns on online payments, you can choose to add a small flat fee that parents see before they pay.

Can school programs use it?

Yes. Archers are organized by school and division (elementary, middle and high school), and you can track school supply fees. It fits NASP school teams and multi-school clubs. More for school teams

Is this the same as NASP's Arrowscores?

No. NASP's own tools, including nasptournaments.org and Arrowscores, run official tournament registration and scoring. Archers Track runs the rest of your team's season: your roster, parents, fees, waivers, classes and schedule. It can also import an archer's tournament history and scores from NASP's public results. We're independent and aren't affiliated with or endorsed by NASP. How they fit together

What happens after the trial?

Your free trial lasts 30 days, and the days start when you add your first archers, program or tournament, not when you sign up. You don't need a card to start. Near the end, you pick yearly ($399.99) or monthly ($39.99) and add a card to keep going. If you don't, nothing is charged, everything you set up is kept, and you can still host tournaments for free. Once you're on a plan, you can cancel anytime and keep access until the end of the period you paid for.

Is hosting a tournament free?

Yes. After your free trial, even if you never choose a plan, you can keep creating tournaments, opening sign-up links, taking registrations and waivers, and tracking who has paid. Archers, programs, lessons and invoices come back when you choose a plan.

Can our school pay by invoice or purchase order?

Yes. On the yearly plan, schools and booster clubs can pay by invoice or purchase order. Send us a request and we'll email you an invoice. We can also send a W-9.

Can I import my current roster?

Yes. Save your roster from Excel or Google Sheets as a CSV file and upload it. Archers Track matches your columns, turns grades into divisions, skips archers you already have, and shows you everything before it saves. No emails go to parents during an import.

Can I get my data out?

Yes. You can export your roster to a CSV file whenever you like, and open it in Excel or Google Sheets.

Is invoicing included, or is that extra?

Invoicing is included in the plan. Archers Track creates and emails invoices, shows every family's balance, lets parents look theirs up, sends reminders in one tap, and records cash, check, card-in-person and Step Up payments. Online payments are only for parents paying by card or Apple Pay, with automatic reminders before the due date. They're free to turn on; Archers Track keeps 1% + 10¢ of each online payment.

Can parents pay online?

Yes. Online payments are free to turn on, with no monthly fee: Archers Track keeps 1% + 10¢ of each online payment, and Stripe's standard card fee applies. You connect your club's own Stripe account in about 10 minutes, and parents get a Pay now button in their sign-up email, their reminders and on your balance page. They pay by card or Apple Pay, the money goes straight to your club's bank, and the invoice marks itself paid. Archers Track never holds your money. You can add a small fee for families to cover the card costs. Cash, check and Step Up still work the same way, with no fee.

Is my data safe?

Every page is served over an encrypted connection. Passwords are stored hashed, never as plain text. Cards are handled by Stripe, so we never see or store card numbers. Parents see only the archers linked to their email address, and they confirm the archer's date of birth before they can see or change contact details. We don't sell personal information. How we handle student data

Do you have a referral program?

Yes. Every club gets a referral link in Settings. When another club signs up with it, they get their first month free after the trial, and you get a free month once they make their first payment. There's no limit.

How many archers and coaches can I have?

As many as you need. The price is the same for every club size, and your other coaches and volunteers can each have their own login.
