Forms, Venmo and a spreadsheet, or one place?
A Google Form plus Venmo plus a spreadsheet gets a lot of archery teams through a season. Here's an honest look at where that setup works, where it costs you evenings, and what changes in Archers Track.

| The job | Forms, Venmo and a spreadsheet | Archers Track |
|---|---|---|
| Sign-ups | A form, then copying answers into the roster | Families sign up from a link and land on your roster |
| Waivers | No real signature field; a typed name or paper | Your waiver PDF, signed on the phone, saved with the archer |
| Payments | Venmo or PayPal on the side, matched to archers by hand | Invoices created at sign-up; payments recorded on the archer, or paid online if you turn it on |
| Who owes what | A column you keep up to date yourself | Balances always current, with a filter for who owes |
| Reminders | One message at a time | One tap reminds everyone who is behind |
| Full events | You close the form when you notice | Sign-up closes itself at your limit; classes keep a waitlist |
| Several coaches | Everyone in one shared file | A login for each coach |
| Cost | Free, plus Venmo's fees on business payments and your time | Tournaments free; full club $399.99 a year; optional online payments at 1% + 10¢ plus Stripe's card fee |
When Google Forms is enough
If you run one event a year, don't collect money, and don't need signatures, a form is fine. Keep using it.
It stops being enough when you're matching dozens of Venmo payments to archers, chasing waivers before a tournament, or sharing one spreadsheet between coaches.
Moving over takes an evening
- Download your responses sheet as a CSV.
- Import it. Columns are matched for you and duplicates are skipped.
- Upload your waiver PDF and create your next class or tournament.
- Send the new sign-up link instead of the form.
Questions
Can I keep taking Venmo or cash?
Yes. Record any payment (cash, check, Venmo, Step Up or anything else) on the archer in a couple of taps, and the balance updates. Online card payments are optional.
Can I bring my Google Forms responses with me?
Yes. Download the responses sheet as a CSV and import it. Archers Track matches your columns, skips archers you already have, and shows a preview before it saves. No emails go to parents during an import.
What does it cost?
Hosting tournaments is free. The full club plan is $399.99 a year or $39.99 a month, with unlimited archers and coaches, and 30 free days to start. Optional online payments have no monthly fee: Archers Track keeps 1% + 10¢ of each online payment, plus Stripe's standard card fee.
Retire the form.
Import your responses, send one sign-up link, and let waivers, invoices and reminders take care of themselves.
