The archery tournament checklist.
Everything to do from eight weeks out to the day after, for invitationals, fun shoots, league nights and club championships. Print it and tick it off.
8 weeks out
- Pick the date and check it against your state and regional tournament calendars.
- Book the venue in writing, and confirm your insurance covers the event and any visiting archers.
- Choose the format: indoor or outdoor, target or 3D, distances, ends and arrows per end.
- Set divisions (age, grade, equipment) and how ties are broken.
- Decide the entry fee, what it covers, and your refund policy.
- If the event is sanctioned, read the sanctioning body's rules now, not the week before.
6 weeks out
- Open registration with a sign-up link and a spot limit.
- Put your waiver in the registration so every archer has a signed one before the day.
- Order awards, target faces and any shirts. Lead times run longer than you expect.
- Recruit volunteers: check-in, range officers or judges, scorers, runners, concessions and cleanup.
4 weeks out
- Post the schedule: check-in, equipment inspection, practice ends, flights or lines, awards.
- Plan the field or gym layout: lanes, waiting line, spectator area, first aid and exits.
- Line up first aid coverage and a written emergency plan.
- Plan how scores will be recorded and checked, and how results will be posted.
2 weeks out
- Send a reminder to everyone registered with the time, address, parking and what to bring.
- Follow up with anyone who hasn't paid or signed the waiver.
- Confirm every volunteer and give each one a written job description.
- Assign flights, lanes or target groups once registration closes.
Week of the tournament
- Check the weather and decide your bad-weather plan and who announces it.
- Print the roster, check-in list, score cards and assignments.
- Pack the kit: whistles, tape measure, extra target faces and pins, pens, clipboards, first aid kit, cash box.
- Send a final message with any changes.
Tournament day
- Arrive early and set up the range, check-in table and signs.
- Check in each archer and confirm the waiver is signed.
- Hold a safety briefing and go over whistle commands before the first end.
- Collect and double-check score cards after each round.
The day after
- Post results and share photos (only of families who agreed to photos).
- Thank volunteers and the host venue.
- Handle refunds and close out the money.
- Write down what to change next time while it's fresh.
The parts you can stop doing by hand
Most of the work above is paperwork: sign-ups, waivers, entry fees, reminders and the roster. In Archers Track, families sign up from a link, sign your waiver on their phones, and get a reminder email a few days before the shoot on their own. You see who's coming and who has paid on one screen. Hosting tournaments is free.
